Privacy Policy
Effective date: September 2026
This policy explains how Vellum Executive Search LLC ("Vellum," "we," "us") collects, uses, shares, and protects personal information when you visit our website or engage with us as a client or candidate.
01 Who we are
Vellum Executive Search LLC is an executive search and recruiting firm serving the architecture, engineering, and construction (AEC) industries, based in Minnesota. If you have questions about this policy or your information, contact us at hello@vellum-es.com.
02 Information we collect
We collect information you provide directly to us, including:
- Your name and business contact information (email address, phone number)
- Your current or former employer and job title
- Your résumé or CV and professional history, if you choose to submit it
- Details of your inquiry or the role you are hiring for or exploring
- Your communications with us
When you use our website, we also collect limited information automatically, such as basic analytics and cookie data (for example, pages viewed and general device or browser information), which helps us understand and improve the site.
03 How we use your information
We use personal information to:
- Respond to your inquiries and provide executive search and recruiting services
- Evaluate candidates for, and present them to, client employers as part of a search
- Carry out business development and maintain professional relationships
- Maintain business and candidate records
- Operate, improve, and secure our website
- Comply with legal, tax, and regulatory obligations
04 How we share your information
Recruiting inherently involves sharing information. As an executive search firm, our core service is introducing candidates to client employers — so sharing relevant candidate information with clients is a normal and necessary part of what we do.
We share personal information in the following ways:
- With client employers, as part of the search process. When we believe a candidate may be a fit for a client's role, we share relevant professional information — such as your résumé, professional background, and qualifications — with that client. For candidates, we aim to discuss specific opportunities with you and obtain your agreement before presenting you to a particular employer.
- With service providers who help us operate, including website hosting, email and productivity tools (such as Google Workspace), analytics, applicant-tracking / CRM software, scheduling, and e-signature services. These providers process information on our behalf.
- For legal and safety reasons, such as complying with applicable law, responding to lawful requests, or protecting our rights, property, or safety and that of others.
We do not sell your personal information.
05 How long we keep information
We keep personal information for as long as needed to provide our services and maintain our professional relationship, and afterward for legitimate business and legal purposes — for example, records of candidate introductions, and tax or compliance requirements. Retention periods vary depending on the type of information and applicable obligations.
06 How we protect information
We use reasonable safeguards designed to protect personal information, including measures such as multi-factor authentication, access controls, and encrypted systems where applicable. No method of transmission or storage is completely secure, but we work to protect the information in our care.
07 Your choices and rights
You may request to access, correct, or delete your personal information, or ask us to stop sending you marketing communications, by emailing hello@vellum-es.com. Please note that we may need to retain certain information for legitimate business or legal reasons — for example, records of candidate introductions or completed transactions. We will respond to requests consistent with applicable law.
08 Cookies and analytics
Our website may use cookies and similar technologies to understand site usage and improve your experience. You can control or disable cookies through your browser settings, though some features may not work as intended if you do.
09 Changes to this policy
We may update this policy from time to time. When we do, we will revise the effective date above. We encourage you to review this page periodically.
